DUTIES AND RESPONSIBILITIES:
Under the direction of the Superintendent of Buildings, the Facilities Manager will oversee and manage the maintenance and upkeep of the Cambridge Senior Center facility and the Wolfe Building, which is comprised of the Multi Service Center and the Community Learning Center; primarily coordinating the set-up and break down of various function areas in conjunction with the program staff of the Department of Human Service Programs, and the general upkeep of both buildings. Duties and responsibilities include but are not limited to the following:
- Meet with Director of the City Wide Senior Center to ascertain and respond to their needs, including advising on green sense planning initiatives, office needs, workspace/event set ups and accommodations.
- Participate in user group meetings in the facilities regarding building and equipment needs;
- Work with the Superintendent of Buildings to expedite repairs and other issues;Coordinate with service vendors, project managers, and DPW representatives to schedule work, including coordination of building shutdowns and testing systems such as plumbing, HVAC, electrical, security, pest control, elevators, janitorial services, and others as required.
- Submit work order requests through the City of Cambridge Work Order System.
- Act upon weekly, open, and outstanding work orders for the buildings while ensuring hallways and egress are clear of all drop shipped items per City regulations.
- Arrange and set up furnishings and equipment for functions; store and deliver audio-visual equipment; coordinate delivery and storage of supplies and materials;
- Maintain inventory of duplicate keys and distribution to program managers; perform light cleaning duties as required during the day.
- Manage files on contractors servicing the Centers. Assist with selecting, and management of facilities' service and equipment vendors and contracts, such as janitorial service as well as coordinate and assist with trash disposal, and snow removal with representatives from the Department of Public Works.
- Respond quickly and swiftly to all emergencies, alerts, and alarms.
- Act as the liaison and team leader for outside technicians as required for equipment condition assessments and repair.
- Coordinate contract custodial cleaner’s workflow and prioritize work.
- Maintain cleaning logs and cleaning schedules for the building.
- Ensure that safety needs are given top priority while executing work when necessary to assist with the operation of the facility.
- Perform other related departmental duties as directed.
MINIMUM REQUIREMENTS:
- Bachelor of Science in related field preferred, and/or a minimum of 5-8 years progressive relevant experience in building maintenance, building systems (electrical, plumbing, HVAC, Green Systems etc.), general construction, compliance with local construction and fire codes and experience in a facilities environment is desired.
- Membership or Certifications in Environmental, Safety and Health (ESH) or International Facility Management Association (IFMA) a plus.
- Must be able to work with management to develop and implement strategic plan for facility maintenance; equipment, and green sense initiative programs;
- Must be able to read and interpret building plans, specifications and construction materials;
- Must be able to interface with DPW management and employees on a variety of building maintenance, and comfort issues;
- Must be able to interface with building inspectors, and internal IT staff;
- Demonstrated problem-solving skills and the ability to find creative solutions.
- Knowledge of state and federal regulations related to accessibility, OSHA and NFPA management;
- Must be familiar with LEED EB, and US Green Seal cleaning products;
- Must be proficient with basic hand tools and capability of performing minor repairs;
- Ability to interact with a diverse group of building users;
- Ability to communicate proficiently with DHSP, building users, contractors, and others;
- Proficient in Outlook, Word, and Excel programs;
- Ability to read, understand, and manage contracts;
- Strong verbal and written communication skills, excellent leadership, time management, and organization skills.
- Massachusetts Driver’s license Class D.
